How to Write a Professional Quote That Actually Wins the Job
Stop losing jobs to competitors who quote faster. Learn how to build professional, itemized quotes on the job site that clients approve instantly.
The Race to the Inbox
When a homeowner needs a new water heater or a business needs a massive landscape cleanup, they usually call three companies.
Company A comes out, looks around, and says, “I’ll email you a number next week.” Company B scribbles “$3,500” on the back of a business card and hands it to them. Company C evaluates the job, walks out to their truck, and sends a professional, itemized quote to the client’s phone five minutes later.
Company C wins the job 90% of the time. In the service industry, speed and professionalism are your best salespeople.
The “Back of a Card” Problem
Writing a lump sum on a piece of paper or sending a one-line text message with a price doesn’t build trust. Customers are wary of being overcharged. If you just give them a flat $5,000 number for a bathroom remodel, their immediate thought is, “What am I actually paying for?”
If your quote looks disorganized, the client assumes your work will be disorganized, too.
Itemize (But Don’t Overcomplicate)
A winning quote finds the sweet spot between a vague guess and a 10-page manual. You want to provide enough transparency to justify your price, without overwhelming the client.
Break your quote down into logical line items:
- Materials & Equipment: Give them an idea of the physical items they are buying (e.g., “50-gallon Rheem Water Heater + Copper Fittings”).
- Labor: You don’t necessarily have to show your hourly rate, but explicitly state that labor, installation, and cleanup are included.
- Permits & Disposal: If you are hauling away their old junk or pulling city permits, list it! It shows you are thorough and handles the headaches they don’t want to deal with.
The One-Click Approval
Even if you build a beautiful PDF quote, you will lose momentum if you make the client print it out, sign it, scan it, and email it back.
You want to strike while the iron is hot. Send them a digital quote with a big, obvious “Approve” button. When they can review the breakdown on their smartphone and accept the job with a single tap, you completely remove the friction from the sales process.
